Office Manager / Executive Assistant 

Join us as a Office Manager / Executive Assistant 
We’re looking for a teammate who’ll keep the administrative and daily operations engine of our company running at full speed so we can continue delivering top-notch services to our global clients – including major players in the Oil & Gas and Transport industries. You’ve probably come across us at gas stations or airports without even knowing it. We’re the team working behind the scenes to make sure those services stay up and running – every single day.

What will you take care of? 

We want to be honest with you from the start: each of your days will be different and will involve quite a few small operational tasks. If you can organise your work and prefer a hands-on agenda, you're in the right place! 

  • Daily office operations – Orders, mail, suppliers – all the small but essential stuff that keeps the office humming. 
  • Support of our CEO Dominik and our leaders – You can expect various tasks from smaller ones (from ordering the equipment for new hire to coordinating our planned office relocation). 
  • Shift planning – You'll keep track of who’s working when and help make sure everything runs efficiently. 
  • Payroll / accounting data preparation – You’ll provide the accountant with clean, correct inputs so everyone and everything gets paid correctly and on time. 
  • Travel orders and business trips – You’ll prepare everything colleagues need when heading out – from documents to bookings. 
  • Event planning – Teambuilding activities, celebrations, internal events – we’ll count on your creativity and organization skills. 
  • Day-to-day communication across our international team – informal, effective, and in English. 

Don't expect a boring administrative role, a routine or just making coffee all day. On the contrary - we'd love to have you actively take part in building the company culture, improving processes and our offices. 
  
How do we know you're the one? 

  • You have relevant previous experience. We are looking for someone who has been in office management and/or executive assistant role for some time. If you can offer administrative experience in addition to this, we would be delighted. 
  • You speak English at B2 level and above (you will communicate with an international team) and you are fluent in Czech or Slovak. 
  • Reliability and responsibility are your second name. If we agree on something, it's a deal. You are also discreet and can handle internal and sensitive information. 
  • You have great attention to detail. The documents that pass through your hands are error-free and you don't miss anything. 
  • You can work independently - you don't need someone to plan your work. On the contrary, you can divide even a large project into sub-tasks and schedule your time so that everything is done on time. 
  • You are proactive and enjoy learning new things. When you encounter a new task, you take it as an opportunity to gain experience, not as a chore. 

We're also happy if you already have experience in shift planning, knowledge of Czech labour laws or even an overview of OHS (BOZP) area. If you don't have experience, we can train you in everything. The only condition is that you are interested in this area.
